Beldon Coaching is operated as a sole trader by Swagat Tharu in the United Kingdom and complies with the UK General Data Protection Regulation (UK GDPR), the Data Protection Act 2018, and the Privacy and Electronic Communications Regulations 2003.

3. Personal Data I Collect

I collect the following categories of personal data:

• Identity data — your full name, professional role, and the organisation you work for (if disclosed).
• Contact data — your email address and any phone number you choose to provide.
• Engagement data — notes I take during coaching sessions, written deliverables prepared for you, scheduling information, and correspondence.
• Payment data — handled and stored entirely by Stripe; I do not receive or retain card or bank details.
• Technical data — IP address, browser type, device type, and pages visited, collected via essential and analytics cookies.

4. Lawful Basis for Processing

I process your personal data on the following legal bases under UK GDPR Article 6:

• Contract — to deliver the coaching services you have purchased.
• Legitimate interests — to respond to enquiries, improve the website, and protect the practice from fraud.
• Consent — for non-essential cookies and any marketing communications.
• Legal obligation — to retain financial records as required by HMRC.

5. How I Use Your Data

Your personal data is used solely to provide, schedule, and improve the coaching services you have engaged me for, to respond to your enquiries, to comply with my legal and tax obligations, and where you have consented, to send you occasional written communications about my practice. I do not sell or rent your data.

6. Data Sharing

I share personal data only with the following processors, all of which are GDPR-compliant:

• Stripe Payments UK Ltd — payment processing
• Google Workspace — email and document storage
• Secure video conferencing provider — for session delivery
• HMRC — where required by law

I will only share data with third parties beyond these where I have your explicit consent, where required by law, or where strictly necessary to protect the vital interests of an individual.

7. International Transfers

Some of my processors (such as Stripe and Google) may transfer data outside the UK. Where this occurs, transfers are made under UK-approved safeguards, including the UK International Data Transfer Agreement and the EU Standard Contractual Clauses with the UK Addendum.

8. Data Retention

Coaching session notes and written deliverables are retained for 24 months following the conclusion of an engagement, after which they are securely deleted unless you request earlier deletion. Financial records are retained for 6 full tax years as required by HMRC. Enquiry correspondence that does not result in an engagement is deleted within 12 months.

9. Your Rights Under UK GDPR

You have the following rights with respect to your personal data:

• Right of access — to request a copy of the data I hold about you
• Right to rectification — to correct inaccurate data
• Right to erasure — to request deletion of your data
• Right to restrict processing
• Right to data portability
• Right to object to processing on grounds of legitimate interests
• Rights related to automated decision-making (I do not engage in any)

Personal data is held on encrypted devices and within reputable cloud services protected by multi-factor authentication. Access is restricted to me alone. I have no employees with access to your data.

In the unlikely event of a personal data breach that poses a risk to your rights and freedoms, I will notify both the Information Commissioner's Office (ICO) and you, the affected individual, within 72 hours, in line with UK GDPR Article 33.
